Milton - On Site Trailer

Site COORDINATOR

Construction Duties & Responsibilities:

  • Reports to the Site Superintendent and Director, Field Operations.

  • Ensure all Quality Control 1 deficiencies are rectified within 5 business days and prior to insulation (when weather permits).

  • Ensure all Quality Control 4 deficiencies are rectified prior to (OWT) Orientation Walkthrough (i.e., PDI).

  • Ensure all OWT deficiencies are rectified within 5 business days or prior to closing.

  • Sign off/update deficiencies on computer system daily.

  • Sign off all completed Work Orders within 24 hours of them being completed.

  • Input Construction Priority Stages in WIntegrate as required.

  • Respond to Customer Care requests and enquiries within 24 hours.

  • Issue Completion Slips and update Completion Slips Book and Monitor Trade Checklists.

  • Issue Field Purchase Orders as directed by the Site Superintendent or Director, Field Operations.

  • Issue Back Charge and Damage Notifications as directed.

  • Assist Site Superintendent with scheduling, emails, phone calls, printing, photocopying, inspections, etc.

  • Print Trade Extras, Blacklines, and Checklists from WIntegrate as required.

  • Return all phone calls and answer emails in a timely manner.

  • Attend and actively participate in monthly Site Coordination Meetings.

  • Schedule and take minutes of Site Team Meetings.

  • Complete Footing Reports and distribute them twice a week.

  • Filing as required and requested.

  • Print and distribute late extra’s and clarifications for Design Center

  • Order material and supplies for site. (After informing office and getting Approval from Director of Field Operations)

  • Order and track rental equipment – email Director of field operations and Senior Project Cooniantor – what the item is and what lots it’s for.  Apon approval, order the equipment.

  • Maintain and updating Health & Safety Board in Trailer.

  • Ensure trades Safety Manual & Form 1000 are current and kept in trailer.

  • Prepare weekly mail bag and ensure proper back-up is included.

  • Assist in scheduling Director, Field Operations calendar for a specific site and follow-up appointments and take minutes of meetings with trades.

  • Maintain a clean and organize site trailer.

  • Any other duties and tasks that may be required by the Director, Field Operations and Chief Operating Officer.

  • Enter QC99's as required.

  • Order hot water tanks

  • Order Civic Stone Addresses and furnaces

  • Book commissioning of hot water tanks and furnaces

  • Print Tracker report on a weekly basis.

  • Submit timesheets together with weekly Attendance Report to Head Office every Monday

Service Duties & Responsibilities:

  • Reports to the Director, Field Operations.

  • Follow up on trades after-service appointments to ensure the work is completed. Updates to be sent to the trades on a weekly basis.  If the trade did not attend or the work was not completed on the service date, the appointment is to be rescheduled.

  • Print Tarion Warranty Forms and any conciliation requests from the Tarion portal daily.  With regards to conciliation requests, follow up with the Director, Field Operations on any issues reported.

  • Check in Tarion Portal daily and immediately follow up on any issues reported. Update the Director, Field Operations of all the issues.

  • Print the Investigative Work Sheet.

  • Schedule Sundial’s designated inspector to review all items listed on Tarion warranty forms within 5 days of receiving and entering their calendar.

  • Sign off items that were deemed not warranted, special seasonal etc. in WIntegrate.  

  • Create work orders to be issued to trades within 24 hours after pre-inspection.

  • Schedule and coordinate trade/service date with the homeowner.

  • Schedule Sundial Service Technician appointments by entering in Service designated calendar.

  • Sign off all completed work orders in WIntegrate from the trades and Service Technician within 24 hours of them being completed.

  • Run Outstanding Deficiencies Over 30 Day Service report on the 28th of each month and complete Cheque Hold List.

  • Respond to Service Technician’s enquiries within 24 hours.

  • Respond to homeowners’ enquiries within 24 hours.

  • When homeowners update their information, send the information to head office so it can be updated in WIntegrate.

  • Schedule Service Technician/s on a weekly basis to complete deficiencies in Model Home(s) and Sales Office.  Keep a log and report to Director, Field Operations of any items that need attention.

  • Issue Field Purchase Orders as directed by the Director, Field Operations.

  • Issue Back Charge Notifications to trades as directed.

  • Return all phone calls and answer emails in a timely manner.

  • Write letters to homeowners concerning warrantable and non-warrantable issues when required.  All letters must be in accordance with our company’s standards.  Letters MUST be approved by head office prior to being sent.

  • Attend and actively participate in monthly Site Coordination and Team Meetings.

  • Filing as required and requested.

  • Assist in scheduling Director, Field Operations calendar for a specific site and follow-up on appointments.

  • Any other duties and tasks that may be required by the Director, Field Operations and Chief Operating Officer.

Salary Range: $60k-$65k
